The Polly Ann Trail Management Council (PATMC) is seeking a qualified, experienced firm or person to perform seasonal and special request mowing services along the specified length of the Polly Ann Trail in Oakland County. Proposals submitted for consideration shall include:
Provision of Services
Specifically, the PATMC needs for the length of the Polly Ann Trail (approximately 14 miles) between the Lapeer/Oakland County line (Boardman Rd.-Addison Twp.) and Greenshield Rd. (Orion Twp.) to have the following services performed:
a) At least three (3) times per season, mowing of the entire specified length of trail including an approximate two (2) foot shoulder (dependant on landscape) on each side of the trail to ensure safe and enjoyable passage for users.
b) Special request mowing in specific areas as determined by the Trail Manager within 48 hours of such request.
c) When billing for special request mows, firm must provide invoices detailing dates and location of work performed.
Fees to Be Charged
Your proposal should include a flat rate for each full mow and a per manhour rate for a special request mow.
Insurance
The firm selected will be required to provide evidence of General Liability, Automobile Liability and Professional Liability coverage in an amount equal to or greater than that indicated on the enclosed Insurance Coverage sheet. Note that the Polly Ann Trail Management Council is to be listed as Certificate Holder and Additionally Insured.
References
Please provide a list of references that includes clients your firm has served in the past five years. Please list any municipal clients you have served.
Proposal Requirements
An applicant must submit, in a sealed envelope, five (5) copies of its proposal. The proposal must be marked PATMC Mowing Bid in the lower left-hand corner of a sealed envelope. The submitted proposal shall follow the form outlined on the following pages. Proposals must be received by 4:00pm on Friday, May 11, 2012. Proposals will be opened by the Proposal Review Committee consisting of members of the PATMC and reviewed by the Trail Manager.

Proposal Selection Process
The Trail Manager will review all proposals. At his/her option, the Trail Manager may choose to meet with all or any of the firms submitting a proposal. Following review, the Trail Manager will make a recommendation to the PATMC. The PATMC will make the final decision and authorize the signing of a contract. The PATMC reserves the right to reject any and all proposals.
